Sol Aureus College Preparatory (S.A.C. Prep), located in Meadowview (South Sacramento), is a tuition-free, college preparatory middle school (grades 5th-8th). The mission of S.A.C. Prep is to prepare all students with the knowledge, skills and habits necessary to compete and succeed in college and in life. More immediately, the goal is to prepare students to compete in rigorous, college preparatory high schools and the college preparatory track in their local public high schools.

Job Description
The position of Director of Operations is vitally important to S.A.C. Prep. The ideal candidate will not only be responsible for all areas of accounting and finance, but will serve as an advisor to the Founder/Principal and to the Board of Directors in assisting them with making sound business decisions. This position reports directly to the Founder/Principal.

The ideal candidate will have experience not only in Accounting/Finance, but should be familiar with all aspects of managing a small business or small non-profit organization (described below). The ideal candidate must have superior time-management skills, and be able to effectively identify and resolve the day-to-day issues that may arise and require immediate attention. That is, issues involving safety/ comfort, or issues that may interfere with normal school operations are paramount, and must be addressed as they arise.

Term
Immediate opening. The individual will be hired subject to a 6-month probationary period. After 6 months, the Founder/Principal will review the candidate’s performance to recommend continued employment.

Responsibilities
Finance/Accounting

  • Must have experience with QuickBooks.
  • Maintain an efficient and effective accounting system.
  • Maintain a system of internal controls and accounting that will ensure accurate reporting and recordkeeping are in compliance with all relevant laws.
  • Compile and analyze financial data on a monthly basis.
  • Prepare regular financial reports for the Founder/Principal and the Board of Directors.
  • Reporting will include comparisons to budget, trends and forecasts. Provide analysis and recommendations as needed.
  • Manage the budget process, including working with Founder/Principal to develop annual budgets.
  • Prepare for external audits and serve as liaison to auditors
  • Provide guidance to Principal and Board of Directors with respect to making sound business decisions
  • Perform monthly closes.

State and Federal Reporting

  • Ensure accurate and timely filing of mandatory reports as required by oversight authorities.
  • Reporting requirements: Attendance, Federal Meal Program, Quarterly and Annual Financial Reporting, other required local state and federal reporting.
  • Ensure supporting documentation to local, state and federal reporting is accurate. This will include detailed review of hand written and computer generated input documents.
  • Work with City and County office of Education to ensure all revenues are received timely and are accurate.
  • Prepare Consolidated Application and other required compliance forms as required by CDE and other third parties
  • Prepare 1099’s

Grant Writing

  • Continuously research and pursue public and private grant opportunities.
  • Complete grant applications as needed.


Management/Operations

  • Must have experience with Payroll Processing (Paychex).
  • Oversee accounts payable and purchasing, including maintenance of vendor relationships.
  • Oversee payroll, including assurance that time sheets are accurate and all earnings and withholdings are in accordance with employee contracts and government laws.
  • Ensure efficient and orderly operation of the school on a daily basis.

Marketing.

  • Revise existing marketing materials or creation of new materials. 
  • Find and seize opportunities to promote the school.
  • Translate the mission, vision and successes of the school into an effective Marketing Message for multiple parties (including potential student/parents, and potential funders).
  • Along with a team that you will hire, attend a variety of community events throughout the spring and summer (including weekends) to man tables, make contacts with potential students/parents, and answer basic questions about the school.
  • Previous one-to-one sales/recruiting experience is a plus.

Compensation

  • Depending on experience.
  • Position includes benefits (medical, dental and vision) and opportunity to participate in 403(b) program.

Qualifications and Requirements  

  • Required minimum 4 year degree - BS in Business Administration (Accounting or Finance), CPA or MBA desired.
  • More important than the specific degree is the experience/skills described above !
  • Computer skills required (Advanced Office, specifically Excel).
  • Experience working in a non-profit or small business is a plus
  • Excellent analytical, verbal and written communication skills
  • Able to communicate effectively and professionally with multiple constituents. This includes our customers (student and parents), Staff, Board Members, Oversight and Regulatory Personnel (SCUSD, Sacramento County Office of Education, CDE, etc.), and Vendors.  
  • Calm under pressure, detail-oriented, an effective multi-tasker, and highly organized.
  • Clean background check, & fingerprinting.
  • Multi-lingual a plus (especially Spanish)
